Reset password, manage account name and profile picture

I forgot my password

If you forgot your password, use the Forgot? link on the login page. Groopit will send you a link to reset your password.

I didn’t receive the email to confirm account

Groopit sends a confirmation email to ensure that the account email is valid - if this doesn't appear, look in the spam folder. Depending on the user’s email system, there can be a delay in delivery of this message. Email account confirmations come from groopit@letsgroopit.com.

How do I change my account information?

Access your Profile page to change your password, profile picture and user name:

  • From the web browser:  Tap the … in the upper right-hand corner and select My Profile.

  • From iOS app – Tap the three horizontal bars in the upper left hand corner and select Profile

  • From Android App - Tap the three horizontal bars in the upper left corner and select Profile

If you change your user name, your original name may continue to show in comments. This bug has been identified and fix is underway.

I can’t login or get an error message

Several things can interfere with your ability to log in to your Groopit account.  There may be a problem with your login credentials, or you may need to check your network connection. If you are having trouble logging into your account, you can:

  • Request a password reset:  If you forgot your password, use the Forgot? link on the login page. Groopit will send you a link to reset your password.

  • Check your formatting:  Passwords are case sensitive.  For security, passwords must contain a minimum of six characters, one uppercase and one number.  Also check that you are using the right email/password combination.  You may have created an account with a different email.

  • Check your network connection to make sure you are connected.

Do I need to setup an account?

Yes, every member of the group needs to have an account to see the Post feed, respond and comment.  You will need to setup separate accounts for personal, business and/or if you want to have a special administrator account.  Each needs a unique email.

Is there are way to search for a group to join?

As most groups are private, there isn't a way to search for a group.  Your group organizer should have sent you an invitation or a link to the group.  Sometimes the invitation ends up in a spam folder.  It comes from invitations@letsgroopit.com.

How do I start a group? 

You can start from a ready-made template or start from scratch.

  • From the web experience: Tap Start a Group on the upper left hand side.

  • From the Apps (iOS and Android): From the page showing your groups, tap on the link at the bottom of the screen that says Start a Group.

How do I leave a group? 

Tap on PURPOSE, scroll to the bottom and tap LEAVE GROUP.  You will need a new invitation or approval to re-join the group.

How old do I need to be to use Groopit?

You must be 13 to use Groopit per the Children’s Online Privacy Protection Act (COPPA).

Is Groopit an app and a website?

Yes! Download Groopit from Google Play, the Apple App Store or use app.letsgroopit.com on any computer through a web browser.


MEMBERSHIP

Managing people, invitations, and join requests.

How do I invite people to join the group?

There are 2 ways to invite people: via email or by sharing a link. Tap PEOPLE, tap INVITE PEOPLE. To invite people via email enter the emails of the people to invite.  Only organizers can invite people to a private group. Groopit will send them an email invitation to the group. Organizers can also share a link with people via email, a handout or on a website.  The organizer will need to approve each member that asks to join the group from a link.

What is included in the invitation?

Once invitees click the link in the invitation, they will be prompted to create a Groopit account with their email and password (Password must contain a minimum of six characters, one uppercase and one number).  The Groopit account email address must match that of the invitation for that person to join the group. If it doesn’t the organizer will need to re-issue the invitation to the correct email address.

What happens when a user clicks on a join link?

When the user clicks on a join link, they will be asked to enter their email address. Groopit will determine whether they have an account and prompt them to sign-in or create an account. 

For a private group: Once the user signs-in, Groopit will send an email to the group organizer that there is a request to join. The group will show up in the users’ My Groups showing their request to join is pending approval. If the user does not have an account, they will be prompted to create one. Once they have confirmed their email and signed-in, Groopit will send an email to the group organizer that there is a request to join. The group will show up in the users’ My Groups showing their request to join is pending approval.

Organizers will receive an email with an invitation request and can also see pending invitation requests by tapping PEOPLE.

For a public group: Once the users signs-in, they will be taken to the group. If the user does not have an account, they will be prompted to create one.  Once they have confirmed their email and signed-in, they will be taken to the group.

Can a user switch email addresses?

Sometimes an organizer sends the invitation to a member’s business email, but the member wants to use their personal email address. To switch emails, the organizer will need to re-send the invitation to the correct email address. The Groopit account email address must match that of the invitation for that person to join the group.

What do I do if people say they didn’t get the invite?

First, users should search for an email from invitations@letsgroopit then add Invitations@letsgroopit.com to their safe sender list. The organizer can also resend the invitation.

  1. Tap People in the menu

  2. Tap Invite people

  3. Scroll down to find the member’s invitation.

  4. Tap the ... by the name and choose resend.  Organizers can resend all outstanding invitations by tapping the RESEND ALL link.

How do I edit the invitation email?

Go to PEOPLE > SEND INVITATION > Scroll down to INVITATION MESSAGE and edit the text> Tap INVITE.   The invitation text is not changed permanently.

How can I tell if people are actively using Groopit?

Tap PEOPLE to see a list of members. Members that have visited the group in the last 30 days will be shown as ACTIVE MEMBER. Organizers will also see members awaiting approval and sent invitations.

Can I control membership in a private group?

In a private group, organizers control the membership.  An individual who receives an invitation is automatically approved to join the group. If a perspective member has a link, the organizer will need to approve their membership request.  Organizers can tap PEOPLE and to see members awaiting approval.

How does a member leave the group? 

To leave a group, tap on PURPOSE, scroll to the bottom and tap LEAVE GROUP. The organizer can also remove a member. To delete a member, tap on PEOPLE, tap on the … by the member’s name and choose delete member.

Can the organizer remove members from a group? 

As the organizer you control who is a member of the group.  To delete a member, tap on PEOPLE, tap on the … by the members name and choose delete member.

How do I make a member of the group an organizer?

To grant organizer permissions to another member, tap PEOPLE, tap the … by their name and choose GRANT ORGANIZER PERMISSIONS. You must be the organizer of the group.


POSTS

Creating signups, making and editing posts, notifications

How do I post a sign-up?

  1. From POSTS, tap on any Post Template with a Sign-up option as a component.

  2. Fill in the details.

  3. Tell users how to respond -  In the blank box under “Create a sign-up, pledge, RSVP or response form” tell members what to do: RSVP, signup to bring something.  Start with a verb.

  4. Add response options, tap + Response Options, so people can respond in different ways like shift dates & times (Sat. May 23 at 6 PM or Sun. May 24 at 9AM) or action items (I'll drive carpool, potluck selection, pledge of support).

  5. Click Post.

Members will see the sign-up in the feed and tap next to the circle icon to sign-up.

Can members comment when they sign-up?

Yes, when members sign-up, an ADD A COMMENT link will appear by their name.  Tap it to add a comment.

Can I edit or delete a Post once it has been posted?

Yes, tap the more options icon (…) in the upper right-hand corner of the Post to edit or delete it and choose an action. Only an organizer or the person who created the post can edit or delete it.

How do I change a photo in a post?

Before posting or when editing a post, tap the text next to the camera icon.   It will bring up a dialog to allow you to choose a different photo.

How do I filter posts to see only subjects of interest?

You can search to see posts that have topics you are interested in. If you don’t see the search box, tap the … dots by the menu to reveal the search bar. 

What should I post?

Tap any of the Post Templates and fill in the details to post.  Everyone wants to be in the know.  Share a picture and the details every time something related to the group’s purpose happens. 

What should I tell members to post?

Everyone wants to be in the know.  Engagement from members will increase when they see what is happening as it happens.  Posting stories and pictures 5x for every ask for a signup, will get members more engaged.  Get members talking and create that buzz with sparklers. Here's how:
1. Post photos of what's happening, as it happens
2. Describe what's happening in 100 words or less, using words that the reader can repeat to someone else.
3. Imagine repeating the description and using the same words to tell a friend about it. If the words tell the story, it’s a sparkler.

How do I delete a comment?

Comments can only be deleted by the person who posted the comment and by Groopit. Users may report comments as offensive or inappropriate.  Groopit reviews reported comments and reserves the right to remove content once posted. Groopit does not remove every comment that has been flagged.  Groopit will endeavor to notify the organizer of a group if there are repeated problems with comments in their group. Organizers may email hello@letsgroopit.com to request removal of a specific comment.

Can I upload documents to Groopit?

Most Groopit customers store their files on services like Dropbox (https://www.dropbox.com/), Google docs or OneDrive then post links on Groopit as needed.  Other groups have documents they use over and over again, so at the bottom of their PURPOSE page, they'll add a link connected to the cloud folder that says "Downloadable Forms & Documents".

We are focused on making Groopit the best hub to activate people and then integrating with external services for file storage.

Are there notifications in Groopit?

Yes.  If you want to know whenever someone posts, set your device to allow notifications from Groopit.  If you use Groopit's iOS App or Android App, make sure notifications are turned on in your device's settings.  If you use the web version of Groopit (app.letsgroopit.com) your browser settings must be set to allow notifications from Groopit.  Follow these instructions: https://bit.ly/2MP71RV.

Can I select what type of notifications I receive?

There are notification features on our product road map that have not yet been built.  Notification when comments are added, the ability to tag people/receive a notification when tagged, and notification settings (so the user can choose topics they want to be notified about) are in the development queue.


POST TEMPLATES

Editing Post Templates, tags, downloading data and managing groups

What is a Post Template?

A post template is how the organizer gives people direction and collects semi-structured data, so that members are contributing the types of posts wanted in the Post feed. Watch this video for organizers: Step-by-Step Instructions for Groopit Organizers to learn more.

How do I change a Post Template?

Groopit is designed so that the right information is captured when a member of the group posts.  To add a data component to a Post Template, tap POST TEMPLATES, tap EDIT, scroll down to the bottom of the template, tap ADD COMPONENT and chose the component to add.  Use the three bars next to the data component to move it to the right position.  Tap SAVE when complete.

How do I post multiple pictures?

Members can create a collage using an app like PicCollage or the built in Android function and post it.  Additional photo components can be added to the Post template by the organizer to allow members to post multiple pictures in a single post.

To add a photo component to a Post Template, go to POST TEMPLATES, > EDIT, scroll down to the bottom of the template, tap ADD COMPONENT and chose Photo.  Use the three bars next to the data component to move it to the right position. Tap SAVE when complete.

How do members know about special requirements? 

You can use tags in a post to let people know of any special skills requirements.  To add a Tag to a post template, tap on POST TEMPLATES and find the POST TEMPLATE to edit.

  1. Tap the three little dots and chose EDIT TEMPLATE

  2. Scroll down to the bottom menu and Tap ADD Component.

  3. Select Tag

  4. Use the handles to move it into the place that you want.

  5. In the box the says “Select a tag” Give people instructions, “Select any special requirements”

  6. In the box labelled “Enter a tag for users to select from”, enter the special skills, pressing ENTER after each one.

  7. Tap SAVE.

How do I encourage others to post so I don’t do it all?

As the organizer, to get people to post you can:

  1. Make sure your post templates offer clear direction.  Start with a verb. If you started a group from one of our pre-made groups, this is done for each action. In each data component tell people what do and if its optional.  Examples might include: “Tell us as things get done”, “Sign-up", “Add a photo of you and your family,” “tag members participating”

  2. Include participation instructions in the invitation, such as the why and how of posting.  If appropriate, have new members introduce themselves as their initial post, so they can do the right thing from the beginning.

  3. Recruit super participants to model this behavior.  If members of the group see many people posting and not just the organizers, they will know that it's OK for them to post too.

  4. Have an individual do as much as they can and then the organizer can edit the post, if necessary.  They can fill most of the details and then if the organizer needs to add a photo or some other element, they can.  All posts can be edited by the original poster and the organizer.

Can the organizer control what people post?

The best way to control what people post is to give them clear direction in the Post Template and set clear expectations in the Purpose section when creating the group.  If a post violates group norms, the organizer can edit or delete the post. Just tap the … by the post. To edit the Purpose, tap PURPOSE, and tap EDIT.

Can members make posts without organizer approval?

Yes, anyone who is a member of the group can make a post without each post being approved.

How do I keep a post from getting lost in the feed?

You can pin posts to the top of the feed. Tap the three little dots in top right corner of post, tap pin.  This keeps the post at the top of the feed. You can unpin it at anytime and it will return to its chronological place in the feed.

How do I have data that only certain people can see?

Data can be made visible only to the organizer.  When a user posts, the data will show up in the post in red.  It will not be visible to any non-organizers.

To make data visible to only the organizer

  1. Tap POST TEMPLATES, find the post template to edit,

  2. Tap the … and choose edit.

  3. Scroll to the bottom of the template and find the EYE icon in the menu, tap the EYE icon.  This icon will appear next to each data component.

  4. To make the data component visible only to the organizer, tap the EYE icon next to the component.  The EYE icon will turn gray and have a slash through it.  Data entered into the field will only be seen by the organizer.  Data that is for the organizer only will appear in red in the post in the organizers feed.  It will not appear in the members feed.

Can I export information from posts?

Groopit allows the organizer to export data from the posts for further analysis or integration into other systems.  To export data into a .CSV file, Tap POST TEMPLATES, scroll to find the Template that has the data to be downloaded.  Tap the … by that template and choose DOWNLOAD DATA.  Groopit will create a separate .csv file.

Can I get an email every time a post is made?

You can receive a notification every time someone posts through the iOS or Android App.  Members will also receive a weekly email digest of Groopit activity.

What do Tags do?

Tags is a data type that can be used for tracking purposes.  Tags are used are a data component that can be searched, and used as a filter in Views and downloaded data. Go to POST TEMPLATES > SHARE WHAT'S HAPPENING> ... DOWNLOAD TEMPLATE DATA. The posts will be put into spreadsheet format so that you can use the data to track what's happening by tag.    

Can members be tagged and be notified of tagging?

Currently there is not a way to tag members and have them be notified.  This is in the development queue.

How do I define the order of tags or sort them?

All tags are added to the end of the list.  The ability to sort tags alphabetically is in the development queue.

What are Views in Groopit?

Views are a place to visualize data in your Groopit.  Right now, Groopit supports mapping. Location data from a post can be viewed on a map in Views. To create a new map view:

  1. Tap View

  2. Tap Create Map View.  Groopit will show a list of Post Templates that include location data. 

  3. Tap the Template you want to map.  If that template has tags, you can filter the information presented by tag. 

What is the difference between POSTS and NEWS?

Posts is for content that requires action of members - like a signup or has information that is specifically about and for members - like a meeting, field trip, announcement, what is happening related to the group’s purpose. Any member can post using the templates that have been setup.  In Private groups, posts can’t be shared. 

NEWS is a place to put information that doesn't require action from your group, is more of an FYI and is not private. Only an organizers can add News. 

How do I change the name of my group?

To change the name of your group you must be an organizer.  Tap PURPOSE, Tap Edit and then edit the name of the group, change the icon photo or edit your group’s purpose and tap save.

How do I create a friendly URL for sharing?

To create a friendly URL, tap PURPOSE, tap Edit and scroll to the bottom of the page and find the Add a Friendly Name section. Type the name you want to use for the group in the box and tap Save. If your group name is already in use, you can try entering another name, then tap Save.

How do I delete a group if I created more than one?

To delete a group, you must be an organizer.  Tap PURPOSE, scroll down to the bottom of the page and tap the link that says DELETE Group.  Once you delete a group, all the information associated with the group will also be lost.


SECURITY & PRIVACY

Does Groopit sell users data like Facebook?

Groopit does not sell user data. Since Groopit is a subscription-based service and does not monetize through advertising, the user data is not sold or monetized by selling it to advertisers. Groopit believes that users own their own data and it is not Groopit's right to sell it.

Who sees Groopit data and how is it secured?

Secure data storage is extremely important to Groopit; that is why Groopit is built on Microsoft's Azure platform.  All of the data is stored in Microsoft data centers, uses Microsoft's security features and abides by Microsoft standards.  We value Microsoft's commitment to security and building Groopit on their platform reflects our commitment as well.

Data privacy is also critical to the Groopit experience. Groopit does not sell user data. Since Groopit is a subscription-based service and does not monetize through advertising, the user data is not sold or monetized by selling it to advertisers. Groopit believes that users own their own data and it is not Groopit's right to sell it.

In a private group, only members can see what is posted.  Groopit provides one additional data privacy feature if further data privacy control is required.  Groopit allows organizers to mark data posted as hidden so that only the organizer sees the data and not the entire membership. Organizers can set up the template so that when that data is posted, it is only visible to the organizer.
